Overview
The Settings activity in the Worker Experience platform houses all of the settings that are relevant to your company's account, and your workers.
Note: some settings pages may not appear in your account, based on what products your company does & does not have access to.
Access it directly from the sidebar to view and update the following settings:
Company
View & configure details about your company here, including:
Company Profile
Set all basic information for your company here, including your company's name/legal name, address, and logo. Support Email and Support Phone fields can be set with the best points of contact for if your workers need support:
Fountain Hire Account connection
If your company is also a Fountain Hire customer, this section is where you'll connect that account with your Worker Experience account. This information can be found in your Hire account Company Settings.
Please ask your Fountain rep for help with setup.
EINs
If your company uses I-9 Center functionality, here is where you'll configure the EINs for your account.
EINs can be linked to individual workers, either:
Manually in their worker profile, or
Automatically based on the value(s) of a worker property
To configure the automated option:
Click Add links to worker properties for the EIN that you would like to be auto-assigned to workers
Specify the worker property and the associated value that should be met in order for this worker to be assigned to that EIN
For example, if workers in California should be assigned to this EIN, select the "Location-State" worker property and type in 'California'. This will assign all workers with a location in California to that EIN
Note: use location & job Uuid values here instead of their free-text names
Click Submit
Messaging
The Messaging section has two settings:
The default email address that communications to workers will be sent from
Enabling or disabling email and SMS communications to workers
If a communication form is toggled on, then all communication via that method will be disabled
External Messaging Support
If your WX account is linked to a Fountain Hire or a Workday account, enabling this feature will enable shortcut buttons to the messaging functionality in that platform from I-9 Center worker profiles.
For workers from Fountain Hire, this will show an Applicant Profile button that links to that worker's Hire applicant profile:
For workers from Workday, this will show a Contact worker button that opens an email draft to them:
Worker Portal Sign-In Options
If enabled, this feature gives workers the option to receive a one-time password in order to access their worker portal. Workers who select this option will receive a six-digit temporary passcode sent to their email that they will have to enter in their worker portal.
This option is in addition to the option to access their worker portal via an email, not in place of.
Team
This page is where you can give your colleagues access to your company's Worker Experience account.
To do so, click Invite in the top right corner, enter their email address in the pop-up that appears, and click the Invite button:
This will send your colleague an email with a link to specify their first & last name, and set up a password for this account. Their email will show as Pending in the team member table until they accept the invitation.
The More Actions button for each user has 1-2 options:
If a colleague has not yet accepted their email invitation, you can click Resend Invitation to send the email out again
Any colleague can be Removed from the platform, which removes their access entirely
Worker Attributes
Worker attributes are custom values that can be assigned to your employees, and given values to help organize your employee population.

Workforce
In the workforce settings, you have the option to select deduplication keys. These keys allow you to choose specific worker details for verifying potential duplicates within your system. You may select one or combine multiple options. Once configured, any newly created or imported worker profiles that match the criteria will trigger an error indicating that the user is already present in the system.
Security
The Security settings page currently has one feature that can be enabled: Open Signup.
This feature, which is disabled by default, allows for people with an email address in a given domain to be able to sign up for the WX platform through an open signup link.
To set this up, do the following:
Toggle the Enabled button on
In Allowed Domains, enter the domain address that you want (most likely your company's email format, such as "fountain.com") and hit Enter
Click Save
This will create an Open Signup URL, which you can then send to others in your organization.
Location Groups
In this section, you have the ability to view, edit, create, and delete location groups. Location groups consist of multiple locations and can be used to streamline the process of assigning roles and permissions be selecting a group of locations, as opposed to selecting individual locations one by one. Once a group has been established, you may add or remove locations from it as needed. Additionally, you have the option to provide a brief description for the group during its creation.
Roles & Permissions
Limit access to certain parts or features of the Worker Experience platform for everyone who has access to it.

Onboard App Settings
This settings page allows for you to configure integration providers for the following features:
I-9
W-4
Integrations
Currently, we support WorkBright as an integration option for I-9 and W-4; and Workato for other integrations. Setting those providers on this page is required for those features to work correctly.
Company Attributes
The Company Attributes page allows you to view, add, edit, and delete attributes related to your company. These attributes are currently not in use anywhere, but new features will be available soon.
To add a new attribute:
Click Add Attribute
Give it a label (a description of what the attribute is)
Select the attribute type from these options:
String (plain text)
Number (allows numerical values only)
Date (allows for values only in a date format)
Boolean (true or false answers only)
To edit or delete an attribute, click the More Actions button from the attribute table.
Email Templates
The Email Templates page allows you to customize your brand's appearance for company communications, excluding password resets and account signups. You can use AI to automatically generate fonts, sizes, icons, and colors by entering your company URL, or opt for manual customization. Customize global branding elements such as your logo, text font, text color, and background color. A preview window on the left will show a real-time representation of your template choices.
Locations
The Locations page lists all physical locations that your employees work at.

Jobs
The Jobs page lists all roles that your employees hold.
Please see this article for information on how to add new jobs, and how to assign them to your workers.
Locations and jobs can also be assigned to workers when importing them via a CSV file - see this article for more details.
Tags
The Tags page, also known as the Tag Manager, allows users to manage tags that can be added to worker's I-9, W-4, and Onboard flow profiles. Here, you can take the following actions:
Search for existing tags using the Search bar
Add a new tag: Click Add Tag in the top right to create a new tag for your users to be able to add
Edit existing tags: click more actions > Edit to update the label for any existing tag
Delete a tag: click more actions > Delete to delete a tag if you would no longer like for it to be used.
