Reviewing Compliance V2 Documents in Worker Experience

Learn how to manually review your workers’ submitted compliance documents in Worker Experience.

Are you using the legacy version of Compliance? Review the articles in this section of the Help Center. All customers will migrate to Compliance V2 by the end of summer 2025.

Once workers are assigned a Compliance Requirement, they will upload documents through their Worker Portal. This might be for the initial compliance document request as part of onboarding or later in their employee lifecycle as a recollection requirement for expiring documents.

These submitted documents will either be manually reviewed by Fountain users or will be auto-approved via AI. Review this article to learn about Compliance AI Auto Approval. Even if AI Auto Approval is used, the document may still be flagged for manual review.

Manual reviews will be completed through the Compliance Workers screen (seen below) or through the Worker's Profile.

Through the Compliance Workers Screen

To review documents manually through the Compliance Workers screen, follow the steps below:

  1. Click Compliance in the left side panel, then click Workers.

  2. Any workers who require document review will have a Review bubble with the number of documents that need review to the right of their name. They will also have a Pending Review status in the Status column.

  3. Click the Review bubble to open the Compliance profile for the worker.

Tip!

To see all workers that require document reviews, click Filters and create a filter for Pending Review status.


Through the Worker Profile

You can review documents through the Worker’s Profile:

  1. Click Workers in the left side panel.

  2. Find the worker you want to review and click their name.

  3. Click the Compliance tab on the right. Any Requirements that were assigned based on this worker’s segment will be listed, as well as whether they are in compliance, out of compliance, or pending review.

  4. Click the document tile with a Pending Review status to open the Compliance profile and take action.

  5. Additionally, any attributes related to Compliance documents can be found in the Attributes tab.


Approving or Rejecting Documents

Once in the worker’s Compliance profile, you will review and action the document. Follow the steps below:

  1. Review the document image on the left and compare it to the extracted information on the right.

    • If any fields were manually entered by the worker, that will be indicated to the right of the field data.

  2. If the document type has auto-approval enabled, the AI confidence review level will be visible to the right of the Requirement name. There will also be a Security Checks section which shows the number of checks the AI had for the document, and out of those checks, how many successfully passed.

    • Click the Security Checks Passed section to expand and see details for any of the checks that were not successfully completed by the auto-approval.

  3. If any information was extracted incorrectly, you can manually correct the fields by hovering over the fields and clicking on the pencil icon, then typing the correct information.

  4. If the document submission is satisfactory, click the Approve button above the image of the document. This will mark the worker as compliant.

  5. If the document submission has issues such as the wrong document being uploaded, the document being expired, etc., click the Reject button above the document image.

    • The worker will be automatically notified that they need to reupload the document, and their Worker Portal task will be reset.

Tip!

If you need to review the employee's Worker Experience profile for more information, message the worker, etc., click the 3 dots button next to Reject for additional options.
