Compliance V2 Auto-Approval

Automate review of Compliance Requirements by automatically approving employee documents that pass Fountain's AI inspection

Updated this week

Are you using the legacy version of Compliance? Review the articles in this section of the Help Center. All customers will migrate to Compliance V2 by the end of summer 2025.

To stay in compliance, your workforce needs to upload certain documents, such as their driver's license, to prove they're in compliance. After documents are uploaded, you're likely manually reviewing each document to check for accuracy. Compliance’s auto-approval functionality makes staying in compliance easier by utilizing AI for that review.

Enabling or Disabling Auto-Approval

Auto-approval is turned on by default for any Fountain template document types. Those document types are:

  • Transportation Worker Identification Credential (TWIC) card

  • ID Card, National Center for Construction Education and Research (NCCER) card

  • USA vehicle insurance

  • ACORD 25 Certification of liability insurance

  • Vehicle registration

  • Driver's license

  • USA commercial auto insurance

Although auto approval is turned on for these document types, you can choose to turn it off and require a manual review by a Fountain user. To turn off auto-approval, follow the steps below:

  1. After selecting the document template type, click the 3 dots button to the right of the document and click Edit document.

  2. Turn the Auto-approval toggle to off.

  3. Click Save.

If you are creating a new document type that is not available as a Fountain template, you can choose to enable auto-approval when configuring the document. Simply turn the auto-approval toggle to on.

Auto-Approval Failure

The following scenarios will automatically flag a provided document as needing manual review if auto-approval is enabled:

  • The expiration date is in the next 60 days

  • The active or start date is in the future

  • The document upload doesn't match the indicated document type ***COMING SOON!

  • Any fields were manually edited by the worker when submitting the document (overriding the auto-extracted data points)

  • The OCR confidence level falls below the previously set value during Requirement creation

  • If any of the custom conditions set during requirement creation aren’t met
