Tracking Your Incentives

Overview

For any campaigns you’ve launched with a financial incentive, these records will populate as you hire your new referred workers! You can easily view the individual bonuses and update the records as needed.

Note: you must have the Hire WX connector configured for the Incentives page to work. Please contact your customer success manager or customer support if need help with configuring your account.

Statuses

  • Pending: the referred worker has been hired, but has not completed the payout condition (days after start date or hire date).

  • Owed: the new worker has completed the payout condition, and the referring worker’s bonus is owed.

  • Paid: the bonus has been paid to the referring worker.

  • Ineligible: the referring worker was terminated prior to the payout condition being met.

  • Churned: the new worker (referral) was terminated prior to the payout condition being met.

Informative tiles

Each tile at the top represents a status. Clicking on the various tiles at the top of the incentives page will sort the page by the status indicated. Unselecting the tile selected will show all incentive records regardless of status. Additionally, these represent the total money for each status/category, separated by currency (if campaigns use different currencies).

Exporting

Exporting will automatically download a CSV of all your incentive records, with each row signifying an individual incentive.

Manual status updates

It’s easy to manually update an incentive record to another status! Just click on the side checkbox for one or multiple records and you can update the status to paid, ineligible, or churned. You can update a record again using the same process if you make a mistake.

Automatic status updates:

Automatic updates are triggered by values set in the worker attributes. These values include Hire Date, Start Date, and Termination Date.

  • Hire Date is used to calculate when the payout condition for days after hire is triggered. This value is automatically populated for the worker when they land on Hire’s Approved Stage (if your account is set up to automatically transfer applicants from Hire to Worker Experience).

  • Start Date is used to calculate when the payout condition for days after start is triggered.

  • Termination Date is used to tigger a status update to either Ineligible or Churned.

Requirements for an automatic update:

  • Bonus Owed:

    • If the campaign’s payout condition is met, then the status will updated from Pending to Owed.

    • Examples:

      • A campaign is created with a payout condition of 30 days after Hire Date. A referred worker is hired on October 1st and their Hire Date was automatically populated. On October 31st, the incentive status will update to Bonus Owed.

      • A campaign is created with a payout condition of 10 days after Start Date. A referred worker is hired on November 1st and their Start Date is blank. On November 5th, a user updates the worker’s Start Date to November 1st. On November 11th, the incentive status will update to Bonus Owed.

  • Ineligible:

    • For a campaign with a payout condition set for Hire Date, both a Hire Date on the new Referred Worker and a Termination Date on the Referring Worker are required to trigger a status update to Ineligible.

    • For a campaign with a payout condition set for Start Date, both a Start Date on the new Referred Worker and a Termination Date on the Referring Worker are required to trigger a status update.

    • Example:

      • John refers Maggie for job with a 30 days after Hire Date payout condition. Maggie starts her new job. Her worker profile Hire Date is August 1st. John leaves the company on August 15th and his worker profile Termination Date is set to that date. On August 31st, the referral record’s status is updated to Ineligible.

  • Churned:

    • For a campaign with a payout condition set for Hire Date, both a Hire Date and a Termination Date on the new Referred Worker are required to trigger a status update to Churned.

    • For a campaign with a payout condition set for Start Date, both a Start Date and a Termination Date on the new Referred Worker are required to trigger a status update to Churned.

    • Example:

      • Sarah refers Paul for a job with a 20 days after Start Date payout condition. Paul starts his new job on May 1st and the Start Date in his worker profile reflects that. The job doesn’t work out and Paul leaves the company. His worker’s profile is updated with Termination Date of May 12th. On May 21st, the referral record’s status is updated to Churned.

Here is how you can manually update any of the worker attribute’s values in Worker Experience:

Locate these values by clicking Worker in the right hand menu and then navigate to the worker of your choice by click on their name. The values referenced for automatic status updates are located here:

You can edit them by clicking the Actions drop-down and selecting Edit. Add the values and then click Save at the bottom of the worker’s profile.
