Adding Workers & Taking Action

Import all of your workers, view their statuses in one place, and take action on them.

Overview

Fountain Worker Experience makes it easy to add all of your current workers into our platform, as well as to add in new hires down the line. Once workers are in the system, it's easy to review all of their information in one place.

There are two ways to import workers into WX: via CSV file import (recommended), and by adding workers individually.


Import Workers via CSV File

To start, you'll need all of your worker's information in the workers-example.csv file format that is linked at the bottom of this page.

This CSV template was updated in February of 2024 to allow for importing of additional fields, including: phone number, address, job, location, time zone, date of birth, and start date.

Note: other CSV file formats do not work with the Import feature at this time.

Once you have your CSV file ready, follow these steps to import your workers:

  1. In the WX platform, go to the Workers page

  2. Click Add Worker and select the Import option

  3. In the Import pop-up that appears, drag & drop or select your CSV file

  4. Click Import

All workers will be added to the Workers table for you to easily view & manage.

Add workers manually

Another option is to add workers individually, manually entering their information. This can be useful if you have individual workers joining your company ad hoc.

To do so, follow these steps:

  1. In the WX platform, go to the Workers page

  2. Click Add Worker and select the Add Worker option

  3. Fill in all of the fields in the Add a new worker pop-up, noting that the following fields are required: First Name, Last Name, and Email

  4. Click Add

You'll be taken back to the Workers table with that new worker added in.


Review worker information and take action

Now that you have your workers in the app, you can review all of their information in one place. There are a few useful actions that you can do directly from the Workers table view:

Search and filter

Use the search bar to find specific workers quickly.

The Filters button allows you to apply criteria based on any of the following values:

  • Worker name

  • Created On (date they were added in to the Onboard platform)

  • Start Date (first day on the job)

  • Email

  • Phone

  • Job Location

Multiple filters can be applied at once. If you filter down to a specific subset of workers that you want to keep as a segment, then click Save as Segment to save the filter criteria.

View the Worker Profile

Click on the name of any worker in the Workers table to see all of their information, including contact information and custom attributes.

Additional Actions

The Actions dropdown in the Worker Profile, as well as the More Actions button from the Workers table, both allow you to take the following actions for the selected worker:

Send Message

In the Send Message pop-up, you can send an e-mail and/or SMS directly to one of more workers. This message will go directly to the email or phone number on file for that worker.

If you send an email from this window, it will be sent from [email protected]

Manage

Allows you to enable or disable if the worker can receive messages, and if they should be included in segments.

By default, all workers are set to receive messages and be included in segments.

Edit

Edit allows you to make changes to any information within the worker profile.

Copy portal URL

Copies the URL of this worker's worker portal directly to your clipboard. This allows you to view the URL for troubleshooting purposes, or access it directly by pasting the URL into your browser.

Impersonate

Similar to 'Copy portal URL', this is a direct link to the worker portal for this worker (no copying & pasting needed!)

For both the Copy portal URL and Impersonate actions, you are in the actual worker portal for that employee. Any actions that you take, such as completing tasks, will actually happen for that worker, so treat these as read-only views.

Logout from all devices

This action will log the worker out of their worker portal on mobile and desktop, requiring them to log back in to access the portal.

Delete worker

This action permanently deletes the worker from your system, along with all of their associated information.

This includes the deletion of the worker's:

  • Presence in any published flows, groups, or campaigns

  • Completed or in progress I-9, W-4, and document signing forms

  • Pending or approved compliance check documents

Deleted workers will stop receiving emails and SMS from the Worker Experience platform, including any Communicate campaigns that they were a part of.


Next Steps

Now that your workers are in the app, you can create segments of workers to easily group them based on different criteria.
