Administrators may need to update the status of a worker during their employee lifecycle. Additionally, some actions in Worker Experience may result in the worker's status changing automatically.
Manage Worker Status
To change a worker's status manually, follow the steps below:
Click Workers in the bottom left corner of the side panel.
Find the worker via scrolling or the search.
Click their name to open their Worker Profile.
Click Actions towards the top left and then click Manage Status.
Here you can manually change the main or secondary status. You can also use the Test worker toggle to indicate this is a test worker and not a real employee. This can be helpful to use during your Fountain implementation.
After making any changes, click Update.
Important Note:
If changing the status from Active to Inactive, Rehire, or Terminated, you will receive a warning message because these changes will impact data related to W-4 and I-9 forms if your company is using the I-9 Center. Be sure to read the warning before confirming the change.
Worker Status Definitions
Review the table below to understand the different main statuses available, the description of the main status, and the additional secondary status options that can be selected.

Created | Automatically assigned when a Worker Profile is first created in Worker Experience. | Applicant or Worker |
Pre-hire | Assigned to workers who have been added to Worker Experience via a Fountain Hire PAPI stage integration during the application (such as an integrated I-9 stage) but have not yet officially started employment (landed in the Approved stage). | Applicant only |
Active | Manually assigned to a worker when they are fully onboarded and actively employed. | Worker only |
Rehire | Automatically or manually assigned to workers who were previously employed by the company and have been rehired. | Applicant or Worker |
Inactive | Manually assigned when a worker is on temporary leave but remains employed without an official termination date. | Leave of absence, Suspended, Seasonal, or Furloughed |
Terminated | Manually assigned when a worker has officially left the company for the foreseeable future, such as in cases of resignation, dismissal, or long-term absence. | Resigned, Involuntary suspension, or Archived |
