Shift Schedule Page Navigation

The Schedule page in Shift is the main page where you will create, update, and view shifts for each of your company's locations and positions. Shifts for different job titles will be colored differently on the calendar so you can quickly identify different role shifts.

To access the Schedule page, click on Shift in the left sidebar. This will open a preview for the default Schedule page from Saturday to Friday. You can toggle between your company's locations in the top left corner:


Basic Navigation

In the top left of the Schedule page, you can change your view from weekly to monthly. Use the arrows to move forward or backward through weeks or months. To jump to the week or month with today’s date, click the Today button. Learn more about the monthly view later in this article.

In the top right, you can access the Activity Log. Learn more about the Shift Activity Log in this article. You’ll also be able to publish changes made while scheduling. Review this article for steps on publishing schedule changes.

Finally, you can also access Fountain’s Copilot, which is an AI Agent that can help you in completing tasks within Shift, such as multi-shift creation for different locations and roles.

Below the Activity Log, Publish button, and Copilot, you’ll see any pending requests and can change the default view (calendar) to a view by job or a view by worker. Review this article to learn the steps to action a pending request.

You can also create new time off or multiple shifts. Review this article for more information on creating time off and multishift creation.

Within the calendar view, shifts will be different colors based on the job they belong to.

  • If the shift is solid colored, it is assigned or claimable.

    • Colors are assigned based on the job. For example, all barista shifts are brown vs. all kitchen shifts are green.

  • If the shift is striped, it is unassigned.

If there are multiple shifts on a single calendar day, they will be organized by start time, then unassigned, followed by claimable, and finally, assigned shifts.

  • Shifts with a green dot icon indicate the worker selected for that shift was recommended.

  • Shifts with a green checkmark icon indicate that the worker selected for the shift was recommended and has seen the assigned shift in their Worker Portal.


Spotlight Views

At the bottom of the Schedule page, you’ll see the Spotlight Views menu.

Click the buttons in the menu to see all, unassigned (or claimable), published, edited, shifts with warnings, or deleted shifts highlighted on the calendar. Other items on the calendar that fall outside of the selected item in the Spotlight View menu will be in gray, as seen below.


Monthly View

To access the Schedule page monthly view, click Weekly in the top left corner and change to Monthly.

You will only be able to view one location at a time when using the monthly view. Additionally, if there are more than 6 shifts scheduled within a day, the shifts outside of the first listed six shifts will be hidden behind a More drawer at the bottom of the day, which includes the number count of hidden shifts.

To see the hidden shifts, click More on the calendar day, and the day rectangle will become highlighted with a scroll bar. You can then scroll through the full list of shifts scheduled that day. You can also perform all scheduling actions per shift by clicking on a specific shift, which will open the shift block menu.

Important Notes:

  • Time off blocks will not be visible when using the Monthly view. Only shifts will be visible.

  • Only one location can be selected to view in the Monthly view.

  • When in the daily spotlight view, I see a + Add Shift button that appears to the left of the X in the day view. When I click + Add Shift, a shift block is added to the top of the schedule for the day, and the create new shift flow is initiated.
