Learn the steps to set up Pool

This article will cover the required administrative setup steps for Fountain Pool and settings that can be customized to make Pool efficient for your company’s needs.


Setup Steps

Once Pool is enabled, Talent Profiles will be generated for every worker record currently in your Fountain account. To start the flow of applicant records into Pool, click Pool in the left side panel and then Settings. Next, click Enable automation at the top. This is a one-time step that will ensure your applicants’ data from Fountain Hire continually flows into Pool to ensure you have an accurate pipeline of talent. You’ll be brought to the Automation Center, and a rule will be automatically created for you. No updating is required. You can navigate away from this screen.

Pool Settings

To access Pool settings, click Pool in the left side panel, and then Settings. Within the Pool Settings page, you can configure your talent eligibility settings and match score percentage threshold. This is also where you’ll understand your ineligible talent that won’t be included in campaigns.

Important Note:

Although messaging rules are visible, this section is locked and cannot be edited.

Talent Eligibility

To make updates to which talent can be included in your pool, click Edit within the Talent Eligibility tile on the Pool Settings page.

Here you’ll see two toggles:

  • Opt-outs: Pool will automatically opt out any talent (applicants, workers, or prospects) who have opted out of email and/or SMS messaging. This toggle cannot be turned off.

  • Exclude active applicants: This toggle will be defaulted on, but can be disabled. If turned on, talent will be excluded who have applicant records actively progressing in Fountain Hire or are currently within an On Hold stage. Fountain assumes most companies would prefer not to send Pool messaging to applicants who are currently applying, as they are interested in the job they are applying for.

Important Note:
If you toggle “Exclude active applicants” to OFF, applicants who are actively in a hiring process may be included in audiences that receive nurture or job invitation campaigns you have active.

Worker Segments

Next, you can decide to exclude certain segments of workers, meaning people who have already been hired. A common use case would be to exclude workers who have a status of active, meaning they currently work at your company. First, you’d need to create an Active Worker segment. Learn how to set up segments in this article. Next, Type in the box to select segment(s) to exclude. Click Save when finished.

On the main Pool Settings page, you’ll see the values for Eligible and Ineligible talent change based on your new setting.

Rejection Reasons

You can also choose to exclude talent that, while they were applicants, were rejected for specific reasons. These reasons will carry over from your Fountain Hire application settings. Learn more about rejection reasons in this article.

Prospects

In this section, you can bulk import prospect contact records into Pool via CSV file. Review this article for more information on manually adding prospects in bulk.

Match Score

To make updates to the match score threshold percentage and configure talent-job matching, click Edit in the Match Score tile of the Pool Settings page.

Here you will see three slider bars that can be adjusted:

  • Match Score Threshold: Adjust at what percentage match between a job profile and a talent profile will be displayed on the Talent Profile. For example, maybe you want to view jobs for which a given talent profile has a 75% match or higher.

  • Match Score Weights - Skills: Adjust how much relative importance the “Skills” category has on the overall match score. If skills alignment is highly important for your business, you may want to increase the relative weight of this category vs. the other match score inputs.

  • Match Score Weights - Availability: Adjust how much relative importance the “Availability” match category has on the overall match score. For instance, if it’s crucially important to ensure the talent you’re reaching out to has high alignment with the days and times of your jobs’ shifts, you may want to increase this category’s weight relative to the other categories. This section is tied to the availability that was entered by the applicant as part of the application process, compared to the shift added to the job Opening. Reminder:

The Match Score is an intelligent scoring system that ranks how well a given person, via their Talent Profile, matches a specific job’s criteria, based on the alignment of the person’s skills, availability, and the job requirements. The match score uses aggregated information from the Talent Profile, job title, plus job description, then compares those datasets against industry-standard occupation databases, like O*NET, to estimate the skills a talent contact may have, as well as those required by a job. The Skills Match category scores talent as a higher match for jobs where their skills align more closely with those required for the job.

Fountain is continually investing in improving the match score algorithm, so methodologies may change.

Ineligible Talent

Based on the ineligible talent settings configured in the Talent Eligibility tile, you can review how your ineligible talent impacts your pool.

You’ll see tiles with the total number of Talent Profiles (applicants, workers, and prospects), how many of those individuals are eligible, and how many are ineligible. You can also search through the list of ineligible talent.


Jobs Page

The Jobs page is accessed by clicking Pool in the left side panel and then Jobs. Here you’ll see a list of jobs available for matching your talent against. These jobs will automatically flow over from Fountain Hire if your company is using Hire.

To find a specific job, use the search at the top of the Jobs page.
