Overview
As more workers join your company, it may become harder to track and manage all of their onboarding flows. Fountain WX makes this easier with segments: pre-defined groups of workers.
Segments can be set up based on any criteria, such as specific attributes, job roles or locations. Segments can be easily assigned to onboarding flows or compliance groups, to tailor tasks based on your worker populations.
There are two ways to create a new segment of workers:
Worker Table (on the fly)
When viewing the list of workers in your company on the Worker table, if you apply any filter criteria, then you are able to save that criteria as a segment.
To do so:
Go to the Workers page in your Onboard platform
Click the Filters button
Click Add Filter to filter based on any of the listed criteria
Once filter criteria have been added, click the Save as Segment button
Enter a name and a description for this new segment that describes what workers are in the segment (such as "Milwaukee area drivers")
Click Save
To view this newly-created segment, click the Segments option underneath the Workers header in the worker table:
Create a New Segment From Scratch
The Segments activity in the WX app sidebar allows you to create a brand new segment from scratch, as well as to view and manage your existing segments.
Take note of the segments on this page: the app automatically creates segments based on your locations & jobs, and even has one for All Workers.
Click Add Segment to create a new segment from scratch.
Here, you can specify a name for the segment, choose filter conditions such as location or job, and optionally add a description. Additional information about each of these fields:
Name
This is what will show when searching for segments to include in things like onboarding flows & compliance groups.
Description
This field is completely optional, and will only be seen internally by your co-workers if they view the details for this segment. It will not be displayed to your workers.
Conditions:
These are the pieces of information that are used to determine which workers are included in this segment. This can be built out using one or more of these options:
'OR' logic (worker must meet at least one of the logic conditions to be in the segment)
'AND' logic (worker must meet all logic conditions to be in the segment)
Date-based logic: the worker must have had the indicated event occur in the specified time frame
'OR' & 'AND' logic examples:
For example, if you want to create a segment for all delivery drivers in Milwaukee, you would fill out the job condition first, and then click Add to use AND logic for your second condition, based on location:
Another example would be if you want all workers who work in Milwaukee or in Madison, WI. To do so, you'd fill out the first Location condition, then click Add condition group to add an OR logic between conditions:
Then, click + Add Filter and pull in your second location condition, like this:
Date-based logic:
Below the options to add 'OR' and 'AND' logic in the segment editor is an option to add date-based logic, which adds and removes workers from the segment as an event occurs:
Click + Add a relative date condition to open the setup window, which allows you to select an event that you want to base the segment criteria on:
By default, there are three event options:
Created On (when the worker was added to the WX platform)
Last Updated (when the worker's profile was last edited/updated)
Start Date (the Start Date value in their worker profile)
Any custom date-based worker attributes that you created in your account are also available to use as events.
Once you've chosen an event, use the slider on the setup screen to indicate the criteria for the event:
Click on the line before the event bubble ("Start Date") to pull in workers where the event has not yet occurred for them
Click on the line after the event bubble to pull in workers where the event has already occurred (shown below):
You also have the option to click directly on the line, before or after, to add a specific date to look to for the criteria. You can then specify exactly how many days before or after the event you want to pull workers in.
For example, as shown below, this would pull in workers who have a start date value exactly 7 days from now:
Workers in segment - preview:
Below these configuration fields, the segment editor will dynamically update each time a condition is added or removed to show you the number of workers who will be in this segment (and their names):
Once everything has been configured correctly, click Create to create this segment:
See here for an example of segment creation for all three hourly roles in a fast food restaurant:
Review & Edit Segments
Once a segment has been created, you can take the following actions on it:
Manage
What this does: Allows you to enable/disable certain setup features for a segment. Currently, the only feature available is to include or exclude deactivated workers.
How: Click More Actions > Manage
View Workers
What this does: shows a list of each worker who is part of this segment
How: Under the 'More Actions' button, click View Workers
Edit
What this does: Allows you to make changes to the name, description, and/or filter conditions in the segment.
How: Click the segment name in the Segments table, or click on More Actions > Edit
Delete
What this does: Permanently deletes a segment
How: Click More Actions > Delete
Note: Taking this action will delete the segment itself, but any workers in that segment who are already assigned to a Flow will still be assigned that flow.
Note: Auto-created segments, such as the All Workers segment and ones created for new jobs & locations, are not editable or able to be deleted.
Utilize Segments
Now that you've created segments to easily group your workers, it's time to put them to use!
Onboard customers: Go to Onboarding Flows to set up a workflow for each segment.
Compliance customers: Jump to Compliance Groups to set up groups for your segments
