Integrate your external calendar and set up I-9 meeting events

Fountain’s I-9 Center easily connects your external work calendar to I-9 tasks, allowing workers to set up virtual or in-person events with you to have their I-9 documents reviewed. Any scheduled events are automatically synced to your connected calendar, making it easy to stay organized.

Important Note:

Fountain’s Worker Experience platform supports the following external calendar vendors: Google, iCloud, Office 365, Exchange, and Outlook.com.


Connecting Your Calendar

To connect your external calendar, follow the steps below:

  1. Click Calendar in the bottom left sidebar.

  2. Click the Integrations tab.

  3. Click to select the external calendar provider you use.

  4. Follow the steps to log in and connect your calendar to Fountain.

  5. Once successfully connected, you’ll see it listed on the Integrations tab.

To disconnect a calendar, click Edit Accounts and then the X icon.


Update Availability

Once your external work calendar is successfully connected, follow the steps below to add your availability:

  1. Still on the Calendar screen, click the Availability tab.

  2. Confirm you see your external calendar in the Included Calendars field.

    1. Click the + button if you do not see your calendar listed.

  3. The interactive calendar view will show current open availability time slots in green and unavailable time slots in gray. To make updates to your availability, click and then drag your mouse over a calendar slot and release.

    1. Clicking and releasing over available slots will change the slot unavailable.

    2. Clicking and releasing over unavailable slots will change the slot available.

  4. Scroll and adjust the timezone to your timezone if necessary. Workers will see times in their timezone regardless of what you set here.

  5. Click Save new rules. Any available time slots over the next week will be available for workers to book time with you.

Pause Availability:

If you plan to be out of the office, click the Pause Availability button to pause the ability for workers to book time with you. When you’re back in the office, click Resume Availability to allow booking to resume.


Creating Calendar Groups

After you’ve connected your external work calendar and updated your availability, you should create a calendar group to link this availability to I-9 tasks. Need to create an I-9 task flow? Review this article.

To create a new calendar group, follow the steps below:

  1. Still on the Calendar screen, click the Groups tab.

  2. Click + New Group.

  3. Type a Title for the group. The title should clearly describe the purpose of this group of calendars. For example, you might name one group as “In Person I-9 Section 2 Reviewers” and one as “Virtual I-9 Section 2 Reviewers”.

  4. Click the User Calendars dropdown to view a list of all users with enabled calendars in your account. Select one or more to be added to this group

    • Any user’s calendar that is listed in a group will be available for workers to schedule Section 2 verification events with.

  5. Click Save. Your new group will be visible in the Groups tab.

After a calendar group has been created, it can be connected to an I-9 task flow that has On-Site and/or Live Video Verification enabled for Section 2. The I-9 Center will use the availability for all calendars in that group to determine which appointment slots will be made available to workers who are scheduling a Section 2 verification meeting. Updating Calendar Groups

You can make the following updates to a calendar group after creation:

  • To edit the title of a calendar group, click the pencil icon.

  • To add new user’s calendars to the group, click the + icon.

  • To remove a user’s calendar, click the X on a calendar user’s name.

  • To delete the group entirely, click the trashcan icon.


Viewing Calendar Events

To view booked calendar events in Fountain, click the Events tab on the Calendar screen. These events will also be automatically added to your connected work calendar.

To cancel a scheduled event, click the three dots button to the right of the scheduled event and confirm the cancellation.

Reminders and Notifications

If your I-9 task was set up to send an email reminder for verification events, as shown below, then both the worker and host will receive an email notification before the event based on the hours set in the reminder settings. Email notifications will also be sent to all attendees when an event is scheduled, rescheduled, or canceled.
