Stay informed about all I-9 and W-4 events and deadlines

The Fountain I-9 Center makes it easy to stay up to date on deadlines and milestones related to I-9 forms by automating notifications for both users and employees at all stages of the I-9 process. Additionally, enabled notifications will include direct links to the I-9 profile or Worker Portal based on the receiver.

Workers can also be notified of some W-4 form events.


Employer Notifications

A number of different notifications can be sent to the employer based on the stage of the I-9 process:

Section 1 Notifications

  • Upcoming Section 1 deadline: Includes a list of workers who have start dates in the next 5 days and have not yet submitted their Section 1 form.

  • Overdue Section 1 form: Includes a list of workers who have not submitted Section 1 and their first day of work has concluded.

  • Section 1 completed: Includes a list of workers who have successfully completed and submitted Section 1.

Section 2 Notifications

  • Upcoming I-9 Section 2 deadline: Includes a list of workers who have completed Section 1 but have not completed Section 2 and/or have not scheduled a Section 2 verification meeting.

  • Authorized Representative completed Section 2: Includes a list of workers who have had Section 2 successfully completed by an Authorized Representative.

  • Section 2 appointment reminders: Based on your Section 2 verification method and calendar integrations, all meeting attendees will receive notifications for any enabled reminders, including:

    • Meetings scheduled by your workers (for both on-site and virtual meetings).

    • Prior to the meeting starting.

    • Meeting rescheduling and cancellations (by you or the employee).

E-Verify Notifications

  • E-Verify Case Pending: E-Verify is processing a case but needs more time to resolve it

    • This is an FYI notification and there is no action required by the employer.

  • Action Required - Photo Match Required: E-Verify requires the employer to manually review and verify the employee’s photos via their I-9 profile.

  • Action Required - Unconfirmed Data: E-Verify requires the employer to confirm information that the employee provided on their form via their I-9 profile.

  • Case Close and Resubmit: E-Verify requires the current case to be closed and a new case to be submitted for the employee.

    • Fountain will automatically close these cases and create a new case on the employer's behalf.

  • Tentative Nonconfirmation: E-Verify has identified that the worker-provided information does not match current government records. The employer must review the case with the employee and determine next steps.

  • Final Nonconfirmation: E-Verify has identified that the government was unable to confirm the employee’s work authorization.

Reverification Notifications

  • Reverification required: Includes a list of workers whose Section 1 provided documents have expired and require recertification.

Important Note:

Employer notifications are disabled by default but can be enabled individually per user account. Learn more later in this article.


Worker Notifications

A number of different notifications will be sent to the worker based on the stage of the I-9 process:

Section 1

  • Section 1 deadline approaching: Sent to the worker as the Section 1 deadline is approaching.

  • Section 1 missed deadline: Sent to the worker at the end of their first day of work if they have not yet completed and submitted Section 1.

Section 2

  • Section 2 completion reminder: Sent once to newly created workers to remind them to complete Section 2.

  • Section 2 deadline approaching: Sent to the worker as the Section 2 deadline is approaching.

  • Section 2 missed deadline: Sent to the worker three days past their first day of work if they have not yet completed Section 2 and/or they have not yet scheduled a verification meeting.

  • Verification appointment reminders: Sent when a worker has scheduled an on-site or virtual meeting to review their documents for Section 2. Reminders are sent before the meeting and if the meeting is rescheduled or canceled.

General I-9

  • Rejected I-9: If an employee’s I-9 is rejected via the employer in the I-9 Center, they will receive an email informing them of the rejection reason and that they need to complete a new I-9 form.

  • Restart the I-9: If an employee’s I-9 is restarted via the employer in the I-9 Center, they will receive an email informing them of the restart reason and that they need to complete a new I-9 form.

E-Verify

  • Unconfirmed Data Reminder: E-Verify has identified that there is a mismatch between the information that the worker provided and what the government has on file.

  • Tentative Nonconfirmation: E-Verify has identified that the worker-provided information does not match current government records. This notification will include a copy of the Further Action Notice which provides details about the case mismatch. Workers will review, fill out, and sign this document directly within their Worker Portal.

  • TNC Reminder (Tentative Nonconfirmation reminder): Sent to the worker to remind them they have a TNC status that requires their action.

  • Case Referred to DHS or SSA: Sent to the worker if the worker has selected that they want to take action on a Tentative Nonconfirmation Further Action Notice. Includes a Referral Date Confirmation document.

  • Final Nonconfirmation: E-Verify has identified that the government was unable to confirm the employee’s work authorization.

Receipt Submission

  • I-9 Receipt Submitted: Sent if the worker uploaded a receipt instead of an actual document when completing Section 1. This will remind them they need to provide the actual document to the employer within 90 days of their start date.

Reverification

  • Reverification required: Sent if the worker’s provided documents during Section 1 have expired. The notification will instruct the employee to schedule a review meeting with Fountain users in the selected Calendar Group to complete the reverification process.

W-4 Form

  • W-4 Restarted: Sent if the worker’s W-4 is restarted by a Fountain user. This message will include the restart reason and a link to the Worker Portal for the worker to start a new W-4 form.

Important Note:

Most worker notifications are enabled by default but can be disabled via the I-9 Settings page. Some worker notifications must be enabled. Learn more in this article.


Turning on Employer I-9 Center Notifications

Employer notifications are turned per individual account via your Profile Settings. To turn on I-9 Center notifications in your account, follow the steps below:

  1. Click your company name/logo in the bottom left sidebar.

  2. Click Profile in the menu.

  3. Scroll down to the I-9 Center Notifications section

  4. Turn on any toggles for I-9 scenarios you want to be notified of.

  5. Decide the digest frequency of the notifications. You can choose hourly, daily, weekly, or monthly. These notifications will be sent to your email, as well in the Worker Experience Notification Center.
