Modifying a Published Onboarding Flow

Steps to update an already-published onboarding flow

If you need to update an onboarding flow after it's been published, you’ll be able to edit it and update tasks for workers who have previously completed the task within the flow.

Update a Published Flow Steps

To modify a published flow, follow the steps below:

  1. Click Onboard in the left sidebar. You will land on the Flows & Tasks table default.

  2. Find the flow you need to update. Use the search or filters if needed.

  3. Click the 3 dots button to the right of the flow name. Then click Edit in the drop-down.

  4. Make any necessary changes and Publish.

Important Note:

Depending on the change made, you may be prompted to accept warnings before updating the flow.


Change Considerations

Depending on what you change in the onboarding flow, workers who were already assigned to the flow vs new workers assigned to the flow may see different changes in their Worker Portal. Review the table below to learn more:

Enable or disable the ability to complete tasks in any order

This change is visible to all workers immediately in their Worker Portal whether the tasks are still outstanding or completed.

Add a new task

If the initial notification is turned on, ALL assigned workers in the flow will be notified to complete the new task even if the worker previously completed the flow.

Edit an existing task

This change is visible to all workers immediately in their Worker Portal for workers who have not yet completed the task. There is no notification sent.

Remove an existing task

The task will immediately disappear for all workers in their Worker Portal regardless if it is outstanding or complete. There is no notification sent and the task data is permanently deleted for all workers in the Worker Portal and Fountain Onboard.

Add a new segment to the flow

If the initial notification is turned on, new workers in the segment will be notified.

Remove an existing segment from the flow

Workers in the removed segment will have the flow tasks disappear from their Worker Portal. No notification will be sent.

Add an individual worker to the flow

If the initial notification is turned on, the worker will receive a notification.

Remove an existing individual worker from the flow

The worker will have the flow tasks disappear from their Worker Portal. No notification will be sent.

Edit the notification message content

The notification will be updated for all future workers assigned to this flow.

Enable the email message

The email message will be sent to all future workers assigned to this flow.

Disable the email message

The email message will not sent to all future workers assigned to this flow.

Enable the SMS message

The text message will be sent to all future workers assigned to this flow.

Disable the SMS message

The text message will not sent to all future workers assigned to this flow.

Enable a flow completion deadline

  • Future workers must complete tasks by the completion deadline.

  • Existing workers who have not yet completed their tasks and are still within the completion window will see a new deadline date in their Worker Portal.

  • Existing workers who have not yet completed their tasks and are now outside the new deadlined date window will be put into Overdue.

Disable a flow completion deadline

The deadline will be removed from assigned workers who have not yet completed their tasks. Any enabled deadline notifications will no longer be sent.

Enable the deadline reminder message

The deadline reminder message will be sent to future workers and to workers who have not yet completed the flow.

Disable the deadline reminder message

The deadline reminder message will not be sent to future workers or to workers who have not yet completed the flow.

Enable the flow reminder message

The flow reminder message will be sent to future workers and to workers who have not yet completed the flow.

Disable the flow reminder message

The deadline reminder message will not be sent to future workers or to workers who have not yet completed the flow.

Add a redirect URL

The redirect URL will be visible for all future workers assigned to this flow.

Remove an existing redirect URL

The redirect URL will be removed for all future workers assigned to this flow.
