Set up background checks for your employees as part of their onboarding

Overview

Background checks can be an important part of the hiring process, as they're used to verify information provided by candidates and can flag potential issues in driving record or criminal history checks.

⭐️ The Worker Experience platform supports running background checks as an onboarding flow task. Seamlessly integrate your existing background check flows into your onboarding setup & workflow.

These background checks are integrated with Yardstik, a third party background check provider.


Setup

Account configuration

Once you have your account with Yardstik set up, you'll connect it to your Worker Experience account by going to Settings > Onboard settings.

On this page, you'll see a Background checks provider section, where you'll enter the following information from your Yardstik account:

  • Yardstik API key

  • Email address for Yardstik admin account

Be sure to click Save after entering this information.

Onboard flow configuration

After configuring your account setup above, assign a background check task to your employees following these steps:

  1. Create a new onboarding flow following the steps here, including entering a Flow Name and Flow Description on the Flow details page

  2. On the Tasks page, click Add a task and then select the Background check option:

After pulling in the Background check task, there are four fields for you to fill out:

  • Package: This is a dropdown list of background check packages that you have available in your connected Yardstik account

    • Here's an example of a list of reports that an account might have to select from:

  • Title: The name of the background check task, as it will display to your employees in their worker portal

  • Estimated task completion time (minutes) [Optional]: Time estimate for how long the background check task will take a worker to complete

  • Description [Optional]: If you would like to display additional information to your employees before they enter the background check workflow, enter it here

From there, enter any other tasks related to this flow, and finish the onboarding flow setup to assign it to workers and publish it.


Worker portal workflow

Workers who are assigned a background check task will be guided through a user-friendly embedded view of Yardstik's background check flow directly within their WX worker portal.

Note: The embedded view will show the account logo that you have set up in your Yardstik account at the top of the screen.

Within this flow, workers will do the following:

  • Confirm their email address (via a 6-digit code)

  • Enter personal information (name, DOB, SSN, phone number, address)

  • Read through & acknowledge disclosure statements (provided by Yardstik)

  • E-sign the form

After all of that is submitted, the background check will start running, and the worker will receive an email containing a link to their Yardstik profile where they can check in on the report. They will also get email updates on the status of their background check.


Reviewing background check results

After workers have completed their background check task, you can view the status and details of their report directly from within the Onboard flow worker list.

To do so, go to:

  1. Onboard > Flows and tasks

  2. Click on the name of the flow that contains your background check task to open the list of workers assigned to that flow

  3. To quickly see background check statuses, add it as a column by clicking on Columns (in the top right) > selecting Background Check > and clicking Apply:

    Note: this column option will only show for onboard flows that contain a Background Check task

  4. Workers who have a submitted background check requiring review will have a Status of To Review:

4. Click on the worker's name to open the onboard sidebar view > view the background check task section. Here, you'll see:

  • The status returned by the background check if it's finished running (ex. 'Clear', 'Consider')

  • A Review button

5. Click on the Review button to view the full report from Yardstik

If the report status is anything other than Clear, you'll be able to choose whether you're taking adverse actions or not from the report.

  1. A centralized dashboard that will allow you to access background check reports from one list, instead of having to click into each onboard flow

  2. Improved UI for the report view and action buttons
