Overview
To stay in compliance, your workforce needs to upload documents, such as their driver's license, that proves they're in compliance. After documents are uploaded, you're likely manually reviewing each document to check for accuracy.
Make staying in compliance easier with AI auto-approval
Fountain Compliance's AI tool is available to make this review process even easier.
At the document level, you'll have the option to automatically approve any worker-submitted documents that meet a certain confidence level threshold from Fountain AI:
Confidence Level Metrics
What exactly goes into this confidence level? There are three main things:
Is the document currently active (expiration date is in the future, and active date is in the past)?
Does the name (First and Last name) on the document match the name on file in the worker profile?
Does the document file that's been uploaded match the document type that's being requested?
For example, if a worker uploads an ID card for their vehicle registration, then this won't pass auto-approval
To change or update this setting, in the compliance group editor on the Requirements page, click on the Setup button for the document type you'd like to edit:
From there, you can do the following:
Enable or disable auto-approval completely for this document check
Set the minimum confidence level value that you would want automatic approval to happen
For example, if you set this to 80%, if Fountain AI is 80% sure that this document should be approved based on the metrics above, then it will approve it automatically
If desired, add more specific approval conditions (aka 'custom validations') based on the values in specific fields (only available for Fountain-created document checks, not custom ones) - see below for more information:
Custom Validations
To add more specific approval conditions, click on the Edit AI approval conditions button shown below. This feature allows you to add additional conditions, per document field, that must be met in order for the document to be automatically approved (in addition to the overall confidence level percentage set for the document type).
The AI Approval window will have a section for each field that is set to be extracted from the document type being edited:
If a document field section has an arrow, click on it to expand that section and see configuration options for that specific field. If a field section does not have an expandable arrow, then there are currently no configuration options available for that specific field:
A dropdown list of logic options will be available for each configurable field:
Select the logic option that you would like to use, and then the value that should be met by the document.
For example, in the screenshot below, a driver's license must have an expiration date of at least three months from the date that it's scanned in order to be approved (if it's submitted on January 1st, 2024, then the expiration date must be April 1st, 2024 or later in order to be approved).
After completing your setup, scroll down in the window to review a summary of the logic being applied to this document type. Any pre-existing approval logic will show here as well, such as the logic for matching the First and Last Name values on the document to the worker's name on file:
Click Save to apply those changes, and continue with the rest of your compliance group setup!
Additional Information on auto-approval
The following factors will flag a document as needing manual review automatically, even if they meet all other conditions:
The document is blurry or hard to read
The expiration date is in the past, or is in the next 60 days
The active or start date is in the future
The document upload doesn't match the indicated document type
Any fields were manually edited by the worker when submitting the document (overriding the auto-extracted data points)
The following document types are excluded from this auto-approval feature, for now:
Circulation / Vehicle Tax
ITV / Vehicle Check document
Insurance Proof of Payment
Vehicle/Delivery Insurance
Note: depending on your company's settings, you might not have access to these document types. Please reach out to your Fountain representative if you would like them added.
Worker Profile
If a compliance check has been auto-approved by Fountain AI, you'll see a record of that event in the History view for that check in the Compliance tab of the worker profile [link to worker profile article]
